Kairos is a personal knowledge companion. It stores your thoughts, notes, and reflections so you can revisit and connect them later. Your data is deeply personal, and we treat it that way. This policy explains what we collect, how we collect it, how we use it, and when we share it.
1. Information We Collect
Account Information
When you create an account, we collect your name, email address, and a securely hashed password. We never store your password in plain text.
Memories and Content You Save
We collect the content you choose to save in Kairos, including notes, quotes, reflections, links, screenshots, uploaded media, and related metadata such as titles, authors, categories, and timestamps.
Imported Content
When you import content from external sources such as YouTube, web articles, social media posts, or uploaded documents, we collect and store the text content, source URL, title, and available metadata so that content can become part of your personal knowledge base.
Conversations
We store your conversations with Kairos so you can continue them later and so the app can provide context-aware responses.
Usage Data
We collect basic usage counts such as the number of messages sent, memories saved, storage consumed, and plan usage status to operate the service, enforce limits, and prevent abuse.
Push Notification Tokens
If you enable notifications, we store your device push token so we can send notifications you requested.
2. How We Use Your Information
We use your information to operate, secure, and improve Kairos.
3. AI Processing
Kairos uses its own retrieval and vector infrastructure to index and search your saved content so it can find relevant memories for you.
When you use Kairos AI features, we may send the message you type, the relevant saved memories selected to answer your request, and uploaded or imported text or document content when needed to OpenAI so Kairos can generate a response or process imported documents.
We do not send your entire memory library to OpenAI by default. We send only the content needed for the specific request you make.
We do not use your data to train our own AI models. Your content is processed solely to provide the Kairos features you request.
Before a signed-in user can use Kairos AI features in the mobile app, the app asks for permission to share this data with OpenAI and links to this Privacy Policy for full details.
4. Third-Party Services
Kairos uses the following third-party services. Each receives only the minimum data necessary for its role.
We do not sell, rent, or share your personal data with advertisers or data brokers. We have no advertising in the app.
5. Data Storage and Security
Your data is stored using encrypted connections and access-controlled infrastructure. We restrict production access and follow least privilege practices so systems and personnel access only the data needed to operate the service.
We configure crash monitoring to avoid sending chat messages, memories, imported document text, and authentication tokens in crash reports.
6. Data Retention
We retain your data for as long as your account is active, unless you delete specific content sooner.
If you delete your account, we will delete or de-identify your data from our systems and service providers within a reasonable period, subject to legal, security, and operational retention needs.
